1. General information about data protection and data security

Thank you very much for your interest in our website. Protecting the personal data of the users of our website www.iconec.com (“website”) is very important to us. Here we would like to inform users about the data protection policy of our company. Naturally, we follow the legal provisions of the data protection laws, such as the EU General Data Protection Regulation (EU GDPR) and other data protection provisions. Iconec GmbH has taken on the task of protecting the confidentiality of personal data and particularly sensitive data of users of our websites and of our contract partners. Hence for us following legal provisions is a must while using personal data with modern information and communication technologies. The object of data protection is personal data. According to Art. 4 NR. 1 EU GDPR, this involves all the information which is about an identified or identifiable natural person. Thus, personal data includes all the information from which conclusions can be drawn about your personal or factual circumstances or information that can be used to make a person identifiable.

2. Collected data

If users want to create an account, then for the purpose of contract initiation and if necessary, for contract performance, iconec needs personal data of users, and the users provide this data when they register. Furthermore, this data is processed in order to comply with the legal provisions and formalities, for example the employment law, the tax and social security law, and the international sanction regimes (e.g. the EU anti-terrorism legislation). This is the data that must be necessarily submitted: title, name, address, email address of the user, phone number, and details regarding education and further studies; professional experience; skills in terms of additional qualifications; preferences for employment by iconec with details about the professional field, the preferred work location and working hours etc.

    The following categories of data are collected:

  • Master data (e.g. name, postal address, email, phone number)
  • (Work)preferences (e.g. professional field, form of employment)
  • Education, professional experience, skills
  • History (e.g. employer, position, duties), languages, school education, program of study, skills, websites, and profiles
  • Application documents (e.g. certificates, references, resume, photo)
  • Usage data or master data (e.g. IP address, name of the retrieved file, date and time of retrieval, transferred data volume, notification of successful retrieval, web browser, and requesting domain)

Moreover, in the context of working together, the following data is collected:


For a permanent appointment:
  • Marital status
  • Details of educational qualifications
  • Job history
  • Contact details of referees who can testify
  • Immigration status
  • Nationality, place of birth
  • A copy of your driving licence or your passport / identity card
  • Bank details, possible financial background check
  • Social security number and other tax-related information
  • Personal information (religion, physical limitations etc.)
  • Details of criminal record, if any
  • Details about your current salary package, pension package, and work package

For working on a freelance basis:
  • Bank details to ensure smooth payments
  • Possible financial background check

Customers:
  • Title, name, email, phone number, position, professional interests
  • Pursuant to GDPR, I can always ask iconec for information regarding the type and scope of the use of my personal data.
  • We have secured our website and other systems with technical and organisational measures against the loss, destruction, access, amendment, or distribution of data by unauthorised persons. The account of the user can be accessed only by entering a username and the personal password. Hence, users must always keep their access information confidential and close the browser as soon as the communication with iconec is complete, in particular if the computer is being shared with other persons.

3. Purpose of data collection

Iconec collects and saves data on its own. Your data will neither be sold nor shared with other unauthorised third parties. iconec assures that it will only share data within the company, with the sister company expond GmbH, Spalter Str. 6 – 8, D-91226 Schwabach, and with customers for placement services, that too always in a limited manner, to the extent required for the process. Furthermore, for applicant management, the platform prescreen.io by Prescreen International GmbH, Mariahilfer Straße 17, 1060 Vienna, Austria, is used.

Data is collected for the following purposes:

1. Users have to provide their personal data for contract initiation and for contract performance, only if it is required for creating and using the account, and for managing the application process. Personal data of users is shared with customers of iconec GmbH, provided that it is necessary for the placement service and provided that the user has given his consent to do this. Whether sharing personal data with customers is necessary depends on the placement and skills profile that is decided together, provided that a placement with a customer of iconec seems possible. The user himself decides the area of recruitment or placement, and the period for which he wants to be available.

2. Third parties authorised by us that perform certain tasks for us according to our instructions, may have access to your personal data as the commissioned data processor. Some examples of such third parties are IT providers that perform tasks in the fields of hosting, database management, website management, maintenance services, handling incoming requests, and doing data analyses. We ask the third parties that provide services to us, to implement and maintain security measures in order to ensure confidentiality and security of the data provided by you to us. We also ask third parties to only collect, process, and use the personal data as per our instructions and in accordance with the contract.


4. Use of Cookies

Iconec uses cookies to increase the comfort of using the website, to make our website more attractive to visitors, and to enable the use of certain functions. Cookies are small text files that are saved on the computer of the user. All the cookies used by us are again deleted from the hard disk of the user after the browser session ends (so-called session cookies).

Of course, users can also visit the iconec website without cookies. If the user does not want iconec to recognise his computer, the user can avoid saving cookies on his hard disk by selecting the option “Reject cookies” in the browser settings. To know the detailed steps for doing this, users can refer to the instructions provided by the browser manufacturer.

The user is informed that he could face functional limitations on the websites of iconec if cookies are deactivated.


5. Server LogFiles

We collect and save the information in log files that is automatically sent by your browser. This information includes browser type/browser version, the operating system used, the referrer URL, time of server request. This data is not assignable to specific persons. None of this data will be merged with other data sources.


6. Purpose-specific use of data

Iconec follows the principle of purpose-specific use of data and it collects, processes, and saves the personal data of a user only for the stated purposes. Personal data is forwarded to third parties only if it is necessary for providing the service or for performing the contract, as described in this data privacy statement. Data is shared with government institutions and authorities that are entitled to receive such data only in the scope of the legal obligation to disclose or if iconec is obligated to give information because of a legal decision.

Iconec takes company-internal data protection very seriously. Employees and service companies commissioned by iconec are obligated by iconec to maintain secrecy and to comply with the data protection provisions.


7. Right to information, right to revocation, and right to object

In the scope of the applicable law, the user can get information at any time, without having to give any explanations, at free of cost, on his data saved with iconec. In addition, the user can block, correct, or delete his data stored with iconec at any time, within the scope of the applicable law. Requests for information and other concerns related to “data protection” must be addressed to the responsible data protection officer of iconec:

8. Deleting the account

Users can delete the PreScreen account on their own. To do this, a user must first login with his access data and personal password. In the account under the tab “Settings”, there is an option “Delete account”. By clicking on “Delete account” user data is deleted promptly and completely.
Personal access data is automatically forwarded when the account is created in PreScreen. The user is requested to save this data carefully.


9. Amendments

The data protection regulations and the management policy for data protection at iconec can keep changing. Hence, it is recommended and necessary to keep yourself abreast of the changes in legal regulations and the practices of iconec. We reserve the right to amend this data protection guideline at any time. Therefore, we request you to look up these data protection regulations whenever you visit the website and to check if any changes have been made in the meantime. You can easily tell if changes have been made by checking the date specified at the end.
